Who we are
Butler Line provides automated call answering for businesses. This policy covers our website at https://butlerline.com and the answering service itself. Contact us at hello@butlerline.com with any question about it.
Two kinds of people, two roles
If you are a Butler Line customer, we are the controller of your account information and the processor of the call data we handle on your behalf.
If you are someone who called a Butler Line customer, that business is the controller of your information. We process it under their instructions. Requests about your call are best directed to the business you called, though we will help.
What we collect
- Account information — name, business name, email, phone number, billing details.
- Call content — audio, transcripts, and summaries of calls answered on a customer's behalf, along with call time, duration, and the caller's number.
- Demo requests — the name, phone number, and industry you submit to have Butler Line call you, plus your IP address for abuse prevention.
- Website usage — basic, aggregate analytics. We do not run advertising trackers or sell website data.
Call recording
Calls answered by Butler Line may be recorded and transcribed so the business can review what was said. Butler Line identifies itself as an automated service at the start of each call, and discloses recording where required.
Recording consent law varies by state, and several states require all parties to consent. Customers are responsible for ensuring their configured greeting meets the law where they and their callers are located. We will help you get this right, but we cannot make the determination for you.
How we use information
- To answer, route, transcribe, and summarize calls.
- To place a demo call you explicitly requested.
- To bill you and support your account.
- To prevent fraud, abuse, and toll fraud on our demo line.
- To improve service quality and accuracy.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
Service providers
We use a small number of vendors to operate the service. We describe them by category here rather than by name, which is standard practice for operational and security reasons:
- Cloud hosting and application delivery
- Telephony carriage and call routing
- Speech recognition, language processing, and speech synthesis
- Transactional email delivery
- Payment processing
- Error monitoring and abuse prevention
Each is bound by contract to process data only on our instructions. Customers under a signed agreement can request our current subprocessor list, and we provide it. If your procurement, security, or compliance review requires named subprocessors, ask us and we will supply them under the agreement — we will not pretend the list doesn't exist.
Retention
Call recordings and transcripts are retained for the period configured on your account, 90 days by default, then deleted. Account records are kept for as long as you are a customer and for seven years afterward where tax and accounting rules require it. Demo call records are kept for 30 days.
Your rights
Depending on where you live, you may have the right to access, correct, delete, or port your personal information, to opt out of its sale or sharing (we do neither), and to appeal a refusal. Write to hello@butlerline.com and we will respond within the period the applicable law requires.
Health information
Some of our customers are medical, dental, and veterinary practices. Where we handle protected health information on behalf of a covered entity, we do so under a business associate agreement. If you are such a practice, raise this with us before going live rather than after — we will tell you plainly what we can and cannot sign.
Children
Butler Line is a business product and is not directed at children under 13. We do not knowingly collect their information.
Changes
We will post any change here and update the date at the top. Material changes are emailed to customers before they take effect.
